POSITION SUMMARY

Denver Relief Consulting's partner company Silver Sage Wellness ("SSW") is searching for a highly motivated and talented administrative or regulatory professional to oversee compliance at SSW's Las Vegas, Nevada cultivation, processing, and retail facilities. Job responsibilities include conducting internal audits, working with state and local building inspectors and regulators, creating compliance and inventory reports, assisting managers with staff training and administrative tasks and bookkeeping. This will be an exciting and evolving role for a major Las Vegas cannabis company as we transition into Nevada's upcoming adult use market.

POSITION RESPONSIBILITIES

The Administrative Compliance Manager will be responsible for:

  • overseeing operational compliance at all company facilities in accordance with State and local laws and regulations, as well as company policies and standard operating procedures;
  • providing support for all members of the company’s facility management and administration teams, including bookkeeping, scheduling, handling correspondence in a timely manner, maintaining compliance and licensing records, overseeing employee expenses and reimbursements, and overseeing facility supplies and orders;
  • providing updates to company policies and standard operating procedures;
  • conducting internal audits and creating compliance and administrative reports and responses, working with state and local inspectors and auditors and facility managers, and monitoring legal and legislative developments and industry news; and
  • other administrative tasks and responsibilities.

EXPERIENCE, EDUCATION AND SKILLS

A minimum two-year degree with a focus on policy, regulated industries, accounting, business, finance or a related field. A minimum two years of experience in a position with managerial responsibilities working within sensitive regulatory structures. Thorough understanding of state and local cannabis laws and how they apply to the operations of cannabis cultivation, production and retail facilities. Excellent communication skills and attention to detail. Effective time-management and ability to multi-task under pressure and sensitive deadlines. Ability to work in a fast-paced, changing and challenging environment. Proficiency in windows-based software, data tracking and point of sale applications is preferred.

CORE JOB DUTIES

The Administrative Compliance Manager's daily and regular duties include:

Administrative Assistance:

  • Responsible for managing company licenses, data, records and accounts.
  • Responsible for the reconciliation of all company accounts.
  • Responsible for collecting receipts, documenting and maintaining financial records.
  • Responsible for overseeing expenses, reimbursing employees and ordering facility supplies.
  • Responsible for ensuring required signage, notices and postings are maintained and unobstructed, and repaired or replaced as necessary.
  • Assisting with the scheduling of meetings and deliveries for facility managers and company executives.

Compliance:

  • Be familiar with and become an expert on all laws and regulations affecting operations.
  • Be familiar with and become an expert on all licensing requirements for cannabis facilities.
  • Be familiar with and become an expert on all cannabis industry best practices.
  • Implement, assist and enforce all required compliance, company policies and standard operating procedures.
  • Assist facility managers with staff training and onboarding regarding compliance topics, including policies and procedures. Ensure staff is properly trained and informed with changes in policies and procedures and retrained when necessary and at least once annually.
  • Conduct internal audits and inspections of company facilities, records and processes and generate compliance reports, identify deficiencies and assist with creating and implementing immediate plans of corrections, conduct internal investigations of major deficiencies and generate reports as necessary.
  • Serve as a liaison between company executives, managers, consultants, third party vendors and regulatory agents regarding administrative and compliance responsibilities.
  • Participate in the development and periodic evaluation of policies and procedures and review the policies and procedures manual quarterly.
  • Advise facility management and company executives on the implementation or operation of compliance programs.
  • Provide assistance to internal or external auditors in compliance reviews.
  • Monitor compliance software and systems to ensure their effectiveness.
  • Direct environmental programs, such as air or water compliance, aboveground or underground storage tanks, spill prevention or control, hazardous waste or materials management, personal protective equipment, solid waste recycling, customer waste management, indoor air quality, integrated pest management, employee training, or disaster preparedness.
  • Prepare management reports regarding compliance operations and progress.

Inventory Control:

  • Oversee the proper and timely ordering and distribution of all products, merchandise, and office supplies at all company facilities.
  • Ensure inventory counts and waste disposal activities are being performed on schedule with acceptable results, and the proper documentation is being executed and filed.
  • Responsible for the settlement of all inventory discrepancies and reporting the resolution of such discrepancies.
  • Develop monthly summary for facility managers and company executives of all inventory discrepancies and how the issues have been resolved and/or mitigated.

Reports and Documentation:

  • Maintain accurate records of all financial activities.
  • Maintains financial records for tax filing; coordinates with the company executives and the accountant to collect, reconcile, and file taxes.
  • File appropriate compliance reports with regulatory agencies.
  • Maintain documentation of compliance activities, such as maintenance of operational logs, applications and reports submitted, complaints received, or investigation outcomes.

JOB SKILLS

Excellent attention to detail, customer service, and organizational skills. Accurate data entry and record keeping. Experience with the data tracking and point-of-sale system. Thorough understanding of cannabis federal, state and local policies and laws. Ability to work in a fast-paced, changing and challenging environment. Ability to make decisions as necessary with oversight when needed. Proficiency in Windows based software and Internet navigation.

JOB SCOPE

Operates with direct supervision from General Manager. Follows established policies and procedures and contributes to the development of new concepts, policies, and procedures as necessary to perform job duties and tasks.
