Solstice was the first commercial supplier of cannabis to the medical cannabis industry in 2011 and home to the first fully permitted large-scale cannabis production and processing facility in Washington. Solstice is currently seeking a highly organized, efficient, and experienced Office Administrator and HR Assistant. We are looking for candidates who wish to pursue administrative and HR support as a vocation and career objective, and grow in these roles with the company.

A critical skill for this job is as a liaison between Solstice leadership and staff. The Solstice office can be best described as a busy, start-up environment. Being assertive and taking the initiative in organizing and effectively delivering communications from the team to Solstice’s cofounders is essential.

Initiative, overall, is crucial. This is a position that requires critical thinking and sound judgment, as well as an intuitive grasp of when you can take certain tasks off the hands of Solstice’s executive team.

Diplomacy, clarity, and precision in writing and speaking are required. You are the first voice that Solstice visitors, vendors, investors, and consumers might encounter, and as such, we ask that you possess and employ excellent communication skills.

Office Administrator Duties and Responsibilities

  • Answer telephone, take accurate messages, and screen and direct telephone calls for management in a professional manner.
  • Process incoming and outgoing mail daily.
  • Composes, prepares and proofreads correspondence, emails, and reports on computer and maintains confidentiality when required.
  • Designs and implements forms for use within office by applying knowledge of software applications and updates as needed.
  • Maintain files in an organized and accessible manner to include updating information, purging files on a regular basis, and creating new filing systems as needed.
  • Provide administrative support for special projects to include research, compiling data and preparation of summary reports based on results.
  • Maintain an organized office calendar and schedules meetings and appointments as needed.
  • Complete travel arrangements to include accommodations, transportation and a prepared itinerary.
  • Inventories and orders office supplies and equipment as directed.
  • Perform errands to Costco and the post office, and less frequently to other businesses to purchase, drop off, or pick up supplies.
  • Organize, order and purchase company lunches and outings.
  • Maintain confidential compliance files in both hardcopy and digital formats.
  • Proficient in Word, Excel, the Microsoft Suite, Gmail, Google Drive/Docs, Google Calendar and iCloud.

Human Resources Duties and Responsibilities

  • Advises Managers on disciplining and termination procedures.
  • Ensures company is compliant with all federal, state and local human resources laws.
  • Keeps the Employee Handbook up-to-date on changes and updates in employment law.
  • Oversees the employee benefits programs including medical dental, life, disability insurance, supplemental medical and 401k.
  • Tracks employee personal time off.
  • Manages orientation program for welcoming and integrating new employees.
  • Oversees employee recordkeeping including new hires, performance appraisals, employee transfers, separations and exit interviews.
  • Creates and maintains current job descriptions for all employees.
  • Oversees the hiring process of Department Managers.
  • Serves as a liaison for management team and supervises employees on human capital issues that affect performance and business relationships.
  • Fosters a workplace environment consistent with the values and vision of the company.
  • Meets deadlines, prioritizes company assignments and maintains professional composure under pressure and dynamic conditions.
  • Adjusts to new situations encountered daily and can learn new duties quickly.
  • Leads conflict resolution and maintains a constructive working relationship with employees at all levels of the organization.
  • Works well with others, both inside and outside of the company.


  • Associates Degree or Higher
  • Prior Office Management Experience Preferred
